Terms & Conditions
EVENT BUREAU is responsible for providing the Client(s) a creative event service and products as detailed in section 2 (‘coverage’). The Client agrees to hire EVENT BUREAU for this coverage for the price as detailed in section 3.
A 50% retainer to secure the date and payable on execution of this agreement (see above). This retainer is non- refundable or transferable in the event of cancellation, it being agreed the loss suffered by the supplier due to cancellation. The final payment will be invoiced separately and must be received 14 days before the event. If the final payment is not made before this date then EVENT BUREAU will not provide materials/coverage for the event.
EVENT BUREAU retains the entire copyright of all original designs and artwork at all times throughout the world. Where an designs and artwork file has been provided, these may be printed and displayed online for personal use but not for commercial use. Any designs and artwork provided cannot be sold for profit. Anywhere this designs and artwork is used online, EVENT BUREAU must be credited appropriately with a link to their website. This includes social networks such as Facebook. No additional editing, cropping or resizing is permitted on any final artwork by the client(s) nor third parties for online use. The artwork may not be given to a third party without EVENT BUREAU’s permission.
EVENT BUREAU retains the right in all cases to use the artwork in any manner at any time and in any part of the world for the purposes of advertising or otherwise promoting their work.
In the unlikely event that EVENT BUREAU is unable to complete the coverage due to unforeseen circumstances, EVENT BUREAU reserves the right to appoint another professional supplier to attend on their behalf to undertake agreed responsibilities. We have an equal duty of care in respect of our clients, their guests and our members of staff and as such we operate a zero-tolerance policy towards inappropriate or threatening behaviour. In the unlikely event that we are obliged to reasonably withdraw our services on the grounds of health and safety then no refund or compensation will be due.
Our contract price does not include exceptional costs, including but not limited to, overseas travel, overnight accommodation for staff and parking fees. The amount and due date for payment of such costs will be discussed and agreed with the Client on an individual basis.
UK travel is included in the contract price. Services provided after 23:59 of the day of the commencement of the events will require two members of staff and will be charged at a rate of £120 per hour between the hours of 00:00 and 07:00am.
This contract has been freely negotiated and shall be recognised as the entirety of the agreement. Only those changes and modifications specifically placed in writing, attached, dated and signed by the Client and EVENT BUREAU at the time of acceptance of this contract shall be recognised as amendments to this contract.
8. LIMITATION OF LIABILITY
If EVENT BUREAU are unable to perform to the guidelines of this contract due to a fire or other casualty, act of God, act of terrorism, or other cause beyond the control of the parties, or due to a grave illness; and if EVENT BUREAU are unable to provide an alternate and appropriate supplier then all fees paid by the client for non-delivered items or services will be returned in full, but EVENT BUREAU shall have no further liability with respect to the agreement.
If EVENT BUREAU are unable to perform to the obligations in this contract for reasons outside the sole control of EVENT BUREAU, they will not be liable for costs in excess of the amount the Client has paid EVENT BUREAU for the event to date. The Client will be deemed liable for costs incurred due to misuse or accidental damage to any third-party product. EVENT BUREAU, the Client and guests will adhere to any rules, regulations and laws stipulated by event venues and locations. The undersigned have read and understood the above contract and agree to the terms and conditions in their entirety.
9. CREATIVE LICENSE – Floral Design is a creative industry and whilst Event Bureau endeavour to represent the client’s ideas and style accurately (as discussed in consultations) and to the best of their ability, the final designs and products are ultimately decided by the Floral Design Team at Event Bureau.
It is the responsibility of the client to ensure that they accurately convey their ideas and vision in any consultations or correspondence prior to the wedding, and raise any creative queries after receiving the mood board and proposal to ensure that the floral design team can appropriately portray the client’s ideas in the final products provided.
Flowers and any living or fresh products provided are guaranteed to last the duration of the ceremony, however Event Bureau cannot accept any responsibility for any deterioration in appearance or standard of items provided due to weather, storage conditions or items being mishandled once delivered. It is the responsibility of the client to ensure that all items delivered are handled and stored with appropriate care.
All flowers requested and detailed in the final quotation are subject to availability and season. If specific flowers detailed in the quotation are unavailable on the date of the wedding, Event Bureau will notify the client and a suitable alternative will be made at the direction of the Floral Design Team.
11. PROP HIRE - All non-perishable items are provided on a rental basis, and will remain the property of Event Bureau. Collection of these items will be arranged by Event Bureau.
Should any items or vases be broken or not returned within 14 days of the wedding date, then full payment for these items, at retail cost, will be due by the client. The client will be invoiced for any items that have not been returned to Event Bureau separately.
Event Bureau does not accept responsibility for hired vases, glassware or accessories that are lost or damaged by the venue or third party. Once the items are delivered, they become the full responsibility of the client.
